📋 Key Takeaways

  • • Federal overtime (FLSA) kicks in after 40 hours per workweek at 1.5× your regular rate
  • • Use 24-hour format (e.g., 17:00 for 5 PM) for overnight shift support
  • • Break time is unpaid and reduces your billable hours
  • • Some states have daily OT rules (e.g., California: 8+ hrs/day)

📖 How Time Card Calculations Work

For each day, we compute: (Clock Out − Clock In) − Break. Overnight shifts are handled by adding 24 hours when clock out is earlier than clock in. Total weekly hours are split into regular (up to OT threshold) and overtime. Gross pay = regular hours × rate + overtime hours × rate × OT multiplier.

FLSA Overtime Rules

Non-exempt employees must receive 1.5× their regular rate for hours over 40 in a workweek. Some states have stricter rules (e.g., daily OT, higher multipliers).

🎯 Expert Tips

💡 Rounding Rules

Employers may round to the nearest 15 minutes, but rounding must favor the employee over time. Always verify your employer's policy.

💡 Meal Breaks

Unpaid meal breaks (typically 30+ minutes) are excluded from work time. Short rest breaks (under 20 min) are usually paid.

❓ Frequently Asked Questions

How do I enter overnight shifts?

Use 24-hour format. If you clock in at 22:00 and out at 06:00, enter 22:00 and 06:00. The calculator automatically adds 24 hours when clock out is earlier than clock in.

What if I have multiple shifts in one day?

Add the hours manually: enter your first shift, note the hours, then use a second "day" or sum the durations. For split shifts, consider using our Work Hours Calculator.

Is break time paid?

Typically, meal breaks (30+ minutes) are unpaid. Short rest breaks (under 20 min) are usually paid. Enter your unpaid break duration to get accurate billable hours.

What is the federal overtime threshold?

Under FLSA, overtime applies after 40 hours per workweek. Some states have daily OT (e.g., California: 8+ hours/day, or 40+ hours/week).

Can I use this for salaried employees?

Salaried exempt employees generally do not receive overtime. This calculator is for hourly, non-exempt workers. Use our Salary Calculator for salaried pay.

How accurate is the gross pay?

Gross pay is pre-tax. Deductions (taxes, benefits, 401k) are not included. Use our Paycheck Calculator for net pay estimates.

What time format should I use?

Use 24-hour format (HH:MM). Examples: 09:00 (9 AM), 17:30 (5:30 PM), 00:00 (midnight).

Does this work for bi-weekly pay periods?

This calculator covers one 7-day week. For bi-weekly, run two weeks and add the totals, or use our Work Hours Calculator for custom date ranges.
